Who We Are

What We Collect
Most of what we hold is what you type into a form on this site.
- Seat requests: your name, your phone number, your email address if you give one, the show, the seats you picked and anything you write in the notes.
- Contact messages: your name, your email address, your phone number if you give one, the subject and your message.
- Artist suggestions: the artist's name and style of music, links to their music and social media, your name, email address and phone number if you give them, and anything you write.
- Renting The Gathering Place: your name, email address and phone number, your organization, the kind of event, the dates you asked about, how many guests, what you need set up and your message. If you fill in or upload the rental application, we also keep the completed application.
- Paying online: the amount, any card fee, what it was for, the payment and order references Square gives us, and the payer's name and email address as Square reports them. We never see or store your card number.
When you send a contact message or a rental application, our server also records the IP address and browser it came from, as a record of the request and to help us block abuse. To slow down repeated rental applications, the site keeps a scrambled form of the IP address for up to two days.
When you pay by card at the venue, Square tells us about that payment too, including the payer's name and email address if Square has them, so the office keeps its payment records in one place.
Staff also keep a list of regular guests, with their names, phone numbers, email addresses and usual seats, so they can hold seats for them.
Visits to This Site
We count visits so we know which pages and shows people look at. We use two tools for this. Neither one sets cookies or follows you to other websites, and we see totals, not people.
- Vercel Web Analytics, from the company that hosts this site. For each page view it records the page, the site that sent you here, your country and region, and your browser, operating system and kind of device. It tells one visit from another with a short-lived code worked out from the request, which it throws away after 24 hours. On payment pages it records only the page, not the details in the address.
- Cloudflare Web Analytics, which records the page, the site that sent you here, your browser and how quickly the page loaded.
Neither tool runs on the office pages that staff sign in to. Like any web host, Vercel also keeps short-term technical logs of requests to the site, including IP addresses, to keep it running and secure.
How We Use It
We use what you send us to:
- Hold and confirm your seats, and tell you when staff have confirmed them
- Answer your message, your suggestion or your question about the room
- Take and record a payment you chose to make
- Keep a record of what was booked, so the box office knows who is coming
- See which pages and shows people look at, in totals
Who Else Sees It
We do not sell your details, trade them, or hand them to anybody for marketing.
These companies handle parts of it because they do a job for us. Each one gets only what it needs for that job.
- Vercel hosts this website and runs Vercel Web Analytics.
- Turso stores the site's database, where your requests and messages are kept.
- Cloudflare stores the site's pictures and, in private storage that is not readable from the web, completed rental applications. Cloudflare Web Analytics is theirs too.
- SendGrid sends our email: the notes about your request, the copies that go to the venue's inbox so staff can answer you, and the replies staff send you. Our emails do not track whether you open them or click their links.
- Square takes online card payments on its own pages. We send it the amount, the show, the date, your seats and your request number, and you give your payment details to Square directly.
- Google Maps shows the map on the home page. The map loads from Google when you scroll to it, Google may set its own cookies when it does, and Google's own privacy policy covers it.
Cookies and Your Browser
This site sets no cookies for visitors. It keeps a few small notes in your browser's own storage so the site works the way you left it: which announcements you closed, and a copy of the site's public text so pages load faster. None of it identifies you, and clearing this site's data in your browser removes it.
Staff who sign in to the office side get one sign-in cookie, which lasts up to seven days.
How Long We Keep It
Seat requests, messages, artist suggestions and rental applications, and the replies staff send about them, stay in the office records so staff can look up what was arranged. Payment records are kept as long as the venue's accounts need them.
- The office activity log is cleared after twelve months.
- When Square tells us about a card payment we cannot match to a seat request, the full message it sent is cleared after 90 days. The payment's own record, with the payer's name and email address, stays with the accounts.
- Scrambled IP addresses used to slow down repeated rental applications are cleared after two days.
Keeping It Safe
The site is served over an encrypted connection, the office side needs a sign-in, and rental applications are kept in private storage that is not readable from the web.
Your Rights
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Call (336) 793-4218 or write to midwayeventcenter@gmail.com and say what you would like us to do. Records the venue has to keep for its accounts, such as payments, may need to stay.
Children
This site is not meant for children under 13, and we do not knowingly collect details from them. If you think a child has sent us something, tell us and we will delete it.
Changes to This Policy
If this changes, the new version goes on this page with the date it changed.
